Printer Shows as Offline
Your printer is powered on but Windows or Mac shows it as offline.

Restart your printer and router. Turn off the printer, wait 30 seconds, then turn it back on. Do the same with your WiFi router. Wait 1 minute for both to fully restart.

Check "Use Printer Offline" mode. On Windows: go to Control Panel → Devices & Printers → right-click your printer → See what's printing → Printer menu → uncheck "Use Printer Offline".

Clear the print queue. In the same window, cancel all pending jobs by clicking Document → Cancel for each one.

Restart the Print Spooler service. Press Win+R, type services.msc, find "Print Spooler", right-click → Restart.

Remove and re-add the printer. If still offline, delete the printer from Devices & Printers and add it again via "Add a printer".
Pro tip: If the printer keeps going offline, check its IP address. A printer that gets a new IP address each restart will always appear offline. Set a static IP in your printer's network settings.

Printer Won't Print (Queue Stuck)
You sent a print job but nothing happens. The job is stuck in the print queue.

Open Services and stop the Print Spooler. Press Win+R → type services.msc → find "Print Spooler" → right-click → Stop.

Delete stuck print jobs manually. Navigate to C:\Windows\System32\spool\PRINTERS and delete all files inside that folder (not the folder itself).

Restart the Print Spooler. Go back to Services → Print Spooler → right-click → Start.

Paper Jam
Paper is stuck inside the printer and won't come out.

Turn off the printer and unplug it. Never remove jammed paper with the printer running — this can damage internal rollers.

Open all access panels. Open the front, rear, and top covers. Look for paper from all angles using a flashlight if needed.

Pull the paper slowly and steadily. Grip the paper with both hands and pull in the direction of normal paper travel. Never yank or pull sideways.

Check for torn pieces. Even a small torn fragment left inside will cause another jam. Use a flashlight to check every corner.

Reload paper correctly. Fan the paper stack, align edges evenly, and don't overfill the tray. Power on and run a test print.
Pro tip: Frequent paper jams often mean the rollers need cleaning. Wipe them with a lint-free cloth slightly dampened with water.

Print a nozzle check pattern. This shows which color channels are clogged. Run the cleaning utility and repeat until all nozzles print cleanly.

Check ink/toner levels. Low ink causes streaks and fading. Replace any cartridges that are empty or very low.

Align the print heads. Use the Printer Properties → Alignment or Calibration tool to fix color registration issues.
Pro tip: If your printer sits unused for weeks, ink dries in the print heads. Run 2–3 cleaning cycles. If quality doesn't improve after 4 cleanings, the cartridge may need replacing.

Printer Keeps Disconnecting from WiFi
The printer connects to WiFi but keeps dropping the connection randomly.

Assign a static IP address to your printer. A dynamic IP that changes on reconnect causes "lost" connections. Set a reserved IP in your router's DHCP settings or in the printer's network menu.

Move the printer closer to the router. Weak WiFi signal is the #1 cause of dropouts. Walls, microwaves, and other devices interfere with the 2.4GHz band most printers use.

Disable power-saving sleep mode. Some printers drop the WiFi connection when entering sleep mode. Disable or adjust sleep settings in the printer control panel.

Update the printer firmware. Manufacturers release firmware updates that fix WiFi stability. Check the support page for your printer model.
Pro tip: If your router has both 2.4GHz and 5GHz bands with the same network name, your printer may keep switching between them. Try creating a separate 2.4GHz-only network for your printer.
